We are seeking a highly organized and proactive Executive Assistant to the Chief Strategy Officer to support daily operations, communications, and strategic initiatives. This role is key to ensuring smooth internal workflows, external communication, and scalable planning as we expand in Syria and beyond.
Role Overview
As Executive Assistant, you will work directly with the Chief Strategy Officer, helping to manage their schedule, prepare for meetings, follow up on key tasks, support content and branding efforts, and contribute to organizing Devista’s presence and expansion in Syria. This is both an administrative and strategic support role, offering room to grow in operations or business development.
Key Responsibilities
🗓️ Calendar & Scheduling Support
Organize and manage the CSO’s calendar (internal & external)
Schedule, confirm, and coordinate meetings and calls
Send timely reminders and post-meeting follow-ups
Assist with planning logistics for travel or events
Occasionally attend meetings to take notes and track action items
📩 Communication & Planning
Act as a point of contact for scheduling and confirmations
Ensure the CSO is prepared for meetings with summaries or briefs
Track pending decisions, follow-ups, and reminders
Help coordinate with internal teams and external partners
📂 Operations & Bookkeeping Support
Organize and maintain key documents and files for the Syrian office
Support basic bookkeeping and expense tracking tasks
Ensure records are properly filed and easily accessible
Assist with document preparation and formatting
🌍 Expansion & Strategy Support
Provide support on initiatives related to Devista’s expansion in Syria
Conduct research or compile summaries to assist strategic planning
Help coordinate logistics, meetings, or outreach related to new opportunities
What We’re Looking For
1+ years of experience in an executive assistant, operations, or coordination role
Strong organizational and multitasking skills
Excellent written and verbal communication (English and Arabic)
Comfortable with tools like Google Workspace/Microsoft, Notion, Trello, and LinkedIn
Basic understanding of bookkeeping or document organization
Discretion, trustworthiness, and a proactive mindset
